JOB TITLE: Production Coordinator
DEPARTMENT: Production Management
REPORTS TO: APM/Producer

POSITION OVERVIEW
The Production Coordinator assists Production Managers and Producers in managing day-to-day activities of one or more assigned departments, and in ensuring that the most up-to-date information and tools are delivered to the appropriate individuals and departments within required timeframes. This role updates, maintains, and distributes tracking spreadsheets, ensures that Director feedback is made readily available to all necessary parties, manages FTP file transfers, and coordinates regular and one-off meetings. The Production Coordinator may also provide general support and guidance to more junior team members, and perform additional duties as required.

DUTIES & RESPONSIBILITIES
: Assist in managing day-to-day activities of assigned department(s)
: Track schedules and work output of artists
: Report scheduling errors and productivity delays to the appropriate parties
: Continually ensure that the most up-to-date information and tools are delivered to appropriate individuals/departments within required timeframes
: Update and maintain tracking spreadsheets and distribute to relevant individuals
: Ensure that Director feedback is made readily available to all necessary parties
: Attend review meetings and take accurate, detailed, clear and concise notes of required revisions
: Ensure that notes are promptly uploaded into in-house production management system
: Manage FTP file transfers
: Ensure that files for upload are organized within appropriately named folders and that sent material transfers properly
: Receive incoming material (i.e. client notes, images for reference, etc.), import into network and/or tracking system, and communicate receipt of delivery to appropriate parties
: Log and organize relevant details to ensure that required information and materials are easily retrievable/tracked
: Coordinate regular and one-off meetings
: Send out meeting invitations and agendas to the appropriate individuals, and ensure that all required parties attend
: Set up telephone and video conferencing equipment as necessary
: Prepare presentation and meeting materials
: Arrange catering as required
: Promote success of more junior team members through provision of general support and guidance
: Promote/maintain department morale, motivation and positive thinking
: Perform additional duties as required

REQUIRED SKILLS & EXPERIENCE
: 3-4 years experience in a production support role, preferably within the animated film industry
: Completed post-secondary education in relevant area of study
: Intermediate working knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)
: Superior organizational skills with a demonstrated ability to prioritize and manage conflicting interests
: Excellent verbal and written communication skills
: Strong interpersonal skills with the confidence to interact with both employees and external contacts at all levels
: Proven ability to utilize good judgment and perform well under minimal supervision
: Strong attention for detail
: Availability to work overtime on short notice when required

JOB TITLE: Assistant Production Manager
DEPARTMENT: Production Management
REPORTS TO: Production Manager/Producer

POSITION OVERVIEW
The Assistant Production Manager is assigned to a specific show and works with Production Manager(s) and/or the Associate Producer to ensure that overall production scheduling and budget requirements are met within his or her assigned department(s). This role attends and drives director approval meetings and represents an assigned department in weekly production meetings.

DUTIES & RESPONSIBILITIES
– Work with Production Manager(s) and/or Associate producer to ensure that overall production scheduling and budget requirements are met within assigned department(s)
– Manage internal department schedules in line with master production schedule utilizing current processes, and adapt as needed
– Schedule big ticket milestones and look at least four weeks ahead to ensure that weekly quotas, department milestones and inventory expectations will be met
– Strategize with Department Lead, Senior Management and possibly other APMs to resolve any production and/or inventory issues, and manage any related impact on the budget, schedule and overtime
– Work with Department Lead/Head and Artistic Supervisor to cast assignments and issue deadlines to artists, ensuring that assignments are varied for optimum performance and are cast according to individual abilities
– Create and maintain reports that clearly illustrate department and individual artist productivity, ensuring that data provided is accurate and valid
– Perform frequent walk-arounds to check in with crew, and ensure resolution of any issues that arise
– Anticipate internal staffing requirements with assistance from Production Manager and Artistic Supervisor
– Communicate pertinent information to fellow production team members as required
– Help to ensure that budget and scheduling documents are updated as changes are made to the film’s production flow and/or staffing profile
– Collaborate with Department Lead/Head, Production Manager, and Coordinator to ensure that the complexity of work is consistent with critical assumptions and is falling within department budgets and schedules, and flag issues as suitable
– Strategize with Department Leads and Senior Management on how to resolve any complexity overages
– Evaluate workload to ensure that quotas are realistic and achievable and strategize accordingly
– Collaborate with Department Lead/Head and Production Manager to develop and manage workflow process
– Keep track of overall inventory so that quotas are met
– Attend and drive director approval meetings, ensuring that meetings are run according to studio standards
– Supervise and mentor Production Coordinators and Production Assistants
– Represent assigned department(s) in weekly production meetings
– Report department progress and discuss solutions to any issues impeding the department
– Partner with Department Lead, Production Manager, and Senior Management to manage conflict within assigned department, and obtain counsel from Human Resources regarding disciplinary procedures
– Ensure that all conflicts and their resolutions are documented, and provide updates for Human Resources and Senior Management
– Support and represent directives from the studio and/or production leadership
– Partner with Department Lead/Head and Production Manager to manage, motivate and create an environment conducive to achieving quotas and artistic achievements
– Perform administrative duties for assigned department(s)
– Accurately track vacations, sick days, etc. for department
– Review accuracy of timecards prior to submitting to Production Manager or Producer
– May assist Production Management with handling transitions
– May assist in the recruitment and selection of new hires

REQUIRED SKILLS & EXPERIENCE
– 5-7 years production experience, preferably in CG feature animation (experience on at least 2 full feature movies required)
– Completed post-secondary education in production or other relevant area of study
– Intermediate working knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)
– Excellent communication and teamwork skills with the confidence to interact with all levels of employees and clients
– Superior organizational skills with a demonstrated ability to prioritize and to manage conflicting interests
– Strong attention for detail
– Self-motivated, proactive, and capable of performing well in a fast-paced, high-energy environment
– Availability to work flexible hours on occasion to meet challenging deadlines
– Demonstrated interest in working in animation production

JOB TITLE: Production Assistant

The Production Assistant supports the Production Coordinator, Production Managers, and Producers in making sure that production activities run smoothly and efficiently within an assigned department. The Production Assistant duties also include ensuring that artists and crew members are provided with essential information and materials as well as posting Director’s notes and feedback on the in-house production management system. This role also coordinates meetings and meal orders, manages FTP file transfers, makes miscellaneous supply purchases, and performs general administrative duties.

DUTIES & RESPONSIBILITIES

– Ensure that Director feedback is made readily available to all necessary parties
– Attend review meetings and take accurate, detailed, clear and concise notes of required revisions

– Ability to take direction well
– Superior organizational skills with a demonstrated ability to prioritize and manage conflicting interests
– Strong attention for detail
– Availability to work overtime on short notice when required
– Experience in post production, script formatting and Final Draft a plus

JOB TITLE: Effects Artist
DEPARTMENT: Effects
REPORTS TO: Effects Supervisor/Head of Effects

POSITION OVERVIEW
The Effects Artist creates effects for assigned shots using Maya and works with the Lead Effects Artist to ensure that all individually assigned Effects deliverables are completed fully and in line with the production schedule and the Director’s overall vision. This role attends Effects reviews for assigned sequences, troubleshoots and debugs shot problems and escalates technical issues as required, and maintains a convention of file naming structures for all shots that is compatible within Arc Productions pipeline. The Effects Artist is required to remain current and up-to-date in effects techniques through industry research and training, and perform additional duties as required.

DUTIES & RESPONSIBILITIES
– Create effects for assigned shots using Maya, ensuring continuity and flow within and between shots and sequences
– Work with Lead Effects Artist to ensure that all individually assigned Effects deliverables are completed fully and in line with production schedule and Director’s overall vision
– Attend Effects reviews for assigned sequences
– Troubleshoot and debug shot problems and escalate technical issues as required
– Maintain a convention of file naming structures for all shots that is compatible within Arc Productions pipeline
– Remain current and up-to-date in effects techniques through industry research and training
– Perform additional duties as required

REQUIRED SKILLS & EXPERIENCE
– 3+ years CG visual effects experience in a Maya production environment
– Feature film experience an asset
– Completed post-secondary education classical or 3D animation, art fundamentals, or other relevant area of study
– Good working knowledge of Maya FX tools, Houdini, and Real Flow
– Experience with Maya particles/dynamics and particle expressions
– Background in traditional art an asset
– Basic understanding of animation styles and techniques and the animation production pipeline as a whole
– Good creative and technical problem solving skills
– Ability to learn quickly and comprehend custom in-house production tools
– Ability to prioritize tasks, meet tight deadlines, and perform to standard in a fast-paced environment
– Experience with Maya Fluids as well as some knowledge of the development and design of FX water
– Working knowledge of any or all of the following a plus:
– Cloth dynamics (NCloth and/or Syflex) is a plus
– Working knowledge of fur/feathers simulations is a plus
– Compositing principles (preferably using Fusion)
– Any scripting language
